Terms and Conditions of Booking with Leitrim Adventure
The quote which you have received is based on the dates, location and number of people we have been asked to quote for. Until a booking has been secured with a €300 deposit this rate may fluctuate due to the availability of bedrooms at your destination and or the number of people you finally book for which may affect the price of some activities.
Deposit & Payment Requirements:
Upon booking, a deposit of €300 must be paid into our bank account within 3 working days.
Credit Card can be accepted through Paypal however a 3% Surcharge applies as this is which is imposed by Paypal.
Until the initial deposit is secured no bookings will be made.
Upon receipt of the initial deposit it is understood that you have thoroughly read the Terms and Conditions of Booking and agree to them.
The group leader is in charge of collecting all monies from each member of the party.
The final balance can be paid in full at any stage but it must be paid in full 14 days prior to the Event date. Each payment must be paid into our bank account quoting the reference number provided to you on your confirmation letter.
If the booking is made less than 28 days prior to the event date as shown on your booking form, the full payment must be made in 1 instalment upon booking.
Cancellation of a booking can only be accepted if made in writing by the Group Leader and will only be considered cancelled when written notice is received.
The following cancellations charges apply:
100% of deposit will be lost at point of cancellation .
14 days or less to arrangement commencement = loss of all monies paid (after deposit)
If a group member or a fully paid invitee decides not to attend or is unable to attend under any circumstances within this said time frame. Also please note, once booking has been closed and when all suppliers have been informed of final numbers and final payment has been issued in relation to your booking. Under no circumstances will a refund be issue to that member/invitee.
General Terms and Conditions
The Group Leader is responsible for all guests in the group.
The Group Leader must ensure that all guests are above 18 years of age.
All dates and times of activities must be agreed by the group leader at the time of booking. The timing of the activities does depend on the availability of the suppliers and so the times are not guaranteed until the written confirmation is sent by Leitrim Adventure.
The dates and time of activities and accommodation will be confirmed to the group leader upon receipt of the inital deposit .
Any changes that are made are to be made in writing and as soon as possible.
Although we will endeavour to accommodate any changes to these schedules it cannot be guaranteed.
Leitrim Adventure is a 3rd Party booking agent only in respect of all bookings we take or make on your behalf.
We accept no liability in relation to any contract you enter into or for any accommodation and/or transfers (“arrangements”) that you book.
Leitrim Adventure does not accept any responsibility for the acts or omissions of any accommodation, transfer, activity providers or any other person connected with the arrangements for your group. Our responsibility rests at booking.
Health & Safety:
Leitrim Adventure is a 3rd party booking agent we do not take any responsibility for your personal safety. Leitrim Adventure recommends that each person takes out appropriate travel insurance which will cover them in the event of personal accident, medical expenses, loss of any monies and the participation in dangerous sports.
Pre-Authorisation upon Check in:
You will be asked to provide a pre-authorisation on a credit card or a €300 cash deposit upon check into your accommodation. This is a policy of the accommodation provider and is to ensure that any charges or breakages will be settled by you. Leitrim Adventure does not take any responsibility for this. We will do our best to give you prior notice where this might happen.
Checking Into your accommodation :
Check in is flexible on the day but please inform us if you plan to arrive before 3pm . Check out is at 11.30 but again we are flexible on the day if we are not under pressure to get accommodation back .
Self Catering Accommodation
Room bookings are based on twin/triple/studio bedrooms to try to keep as many of the group together and as close as possible.Room types used are typically triple and twin rooms but can be larger depending on the group size If you have specific room type requests please ensure we are notified at the time of booking as we may not be able to accommodate your request at a later stage. We must be notified of any disabled room requests at the time of booking as these room types have limited availability.
Please note room allocation is dictated at the time of booking based on availability and by the group size. If your group size changes from that which was first booked then we will adjust the room allocation as they we see suitable for the new group size.
All group leaders that book through Leitrim Adventure accept full responsibility for each of the group members. All groups are expected to behave themselves at all times and not act inappropriate to any members of the activity, accommodation owners, nightclub, other group members or the general public. If any members of the group threatens or disrupts the safety of anyone else whether they be among the group or general public the supplier has full discretion to cancel any of the bookings without notice. Accommodation owners have at there discretion the power to ask any groups to leave accommodation without any refund to the group.
All groups checking into hotels will be required to produce a valid credit card or a cash security deposit on check in. This is in the case of the group committing any damage or noise complaints from any other residents in the hotel.
Leitrim Adventure is not responsible for the cash security deposit held by the supplier. If for any reason, your deposit is not refunded, this is at the sole discretion of the accommodation supplier and needs to be brought up with them. We are unable to get back any form of deposit on behalf of any clients.
Upon receipt of your final payment 14 days prior to arrival you will be sent an itinerary with all details of your accommodation, activities and transfer times if applicable. The timing of all activities, meals & transfers MUST be adhered to.
In the event that you cannot join an activity, are delayed in taking part or miss a transfer due to timing, Leitrim Adventure does not take any responsibility and no monies will be refunded for this loss of activity or transfer.
Acceptance of the above Terms and Conditions is implied when making a booking and this constitutes the limit of our liability
Complaints must be received in writing. Only complaints from the event organisers will be investigated.
Any complaints should be raised with the supplier during the event where possible. If they do not resolve please contact us and we will do our best to resolve the issue.
